USE A TABLET TO QUICKLY OPTIMIZE PAPERWORK

How we did it at a small company with minimal resources

If you work for a small business, then you might not have the most amazing mobile software to manage your business in the field. In our case, drivers were filling out paperwork all day in an industry that had not yet been automated by any software company. Paperwork was traveling slowly back to the office and errors were much harder to catch days after the events transpired.

We solved it, but the way we solved it was even harder than it would be today. I'll tell you how we did it and then I'll let you know how to do it better than we did. First, we negotiated with Verizon to obtain $60 LG Tablets with 8 Megapixel cameras on the back with autofocus. If you're going to be taking pictures of paperwork, then 8 Megapixels and autofocus go a very long way.

We purchased and installed the app Tasker from the app store as well as it's Send Silent Mail plugin. With a little experimentation, we had tasker set up to send any new photograph back to an email account of our choosing. As a backup, we also configured another app called Foldersync, to post the photos to our file server. Tasker and Foldersync were set to run every hour. This process worked well for us, but today, it could be even better.

If I could do it all again, how would I do it today?

Two cloud-based solutions could help get this done much more accessible. Teamdesk.net and Integromat. I would install the Integromat app on each android applet and have it manage sending the photos back to the Integromat server. On the Integromat service, you can accomplish a lot of tasks, such as modifying the image. Integromat can be configured to connect to the Teamdesk API to deliver the document.

Option 2, is more straightforward but possibly more expensive. Teamdesk.net has its own mobile. If you already have a Teamdesk account for every field employee, they can use the Teamdesk.net mobile app to upload photos into the Teamdesk database directly.

See, it wasn't that complicated at all and didn't involve expensive software to get it done. This could save your company hours of waiting for paperwork.
